Crumpled receipts and OCR: flatten it first, then shoot.

The receipt that rode home balled up in a pocket isn't unreadable — it's just warped. Why creases and shadows trip OCR more than you'd think, the ten seconds of flattening that fixes most of it, and why you capture it either way.

Reach into a jacket you haven't worn in a month and you'll often find it: a receipt, balled up, soft at the creases, half the total hidden in a fold. It's not faded — the print is all still there. It's just no longer flat, and a receipt that isn't flat is a surprisingly hard thing to scan. Not because OCR is weak, but because crumpling breaks it in a way that's easy to fix once you know what's actually going wrong.

This is the sibling problem to the faded thermal slip. There, the enemy is time eating the contrast off the page. Here the ink is fine and the enemy is geometry — folds, shadows, and a total that's no longer sitting on a straight line. The good news is that geometry is recoverable in a way faded dye is not. You can flatten a crumpled receipt. You cannot un-fade one.

Why a crease is harder to read than it looks

Receipt OCR is two jobs: reading the characters off the page, then working out which number is the total. A crumpled receipt sabotages both, and it does it with three separate tricks.

The first is shadow. A crease is a tiny ridge, and under any directional light a ridge throws a line of shadow across the paper. OCR finds text by looking for dark marks on a light background — and a shadow is a dark mark that isn't text. A hard fold running through the total can read as a stray stroke, split a digit in two, or bury a line entirely in shade.

The second is warp. OCR leans hard on the assumption that a line of text sits on a straight baseline — that's how it groups characters into the store name, the line items, the total. Crumple the paper and those baselines curl and buckle. Now the reader is trying to follow a row of characters that dips into a valley and climbs back out, and the step that decides which number is the total — the one that relies on layout and position — has a much weaker signal to reason over.

The third is focus. A balled-up receipt isn't flat, so parts of it sit closer to the lens than others. Your camera picks one plane to focus on, and the raised ridges or sunken folds fall soft. Half a sharp receipt and half a blurry one is not a receipt OCR can read cleanly.

None of these is OCR "getting it wrong." They're the paper handing the reader a worse photo than it needs to. Fix the photo and most of the problem evaporates.

The ten seconds that fixes most of it

You don't need an app trick or a special setting. You need the receipt flatter and the light flatter, and both take seconds.

  • Flatten it under something heavy first. The single most effective move: lay the receipt in a book, or under a phone or a mug, and give it even a minute. Paper has memory but it's weak — a little steady pressure pulls most of the buckle out and lets the baselines go straight again. For a badly balled-up slip, smoothing it against the edge of a table with your thumb (draw the paper across the edge, like curling ribbon the wrong way) relaxes the creases before you press it.
  • Kill the directional light. Crease shadows come from light hitting the ridges at an angle. Flat, even, indirect light erases them. Shoot near a window out of direct sun, or throw the whole slip into soft shade — not under a single overhead bulb that rakes across every fold.
  • Shoot straight down, filling the frame. Get the camera parallel to the paper, not tilted, so the whole slip sits in one focal plane and the baselines stay horizontal. Fill the frame with the receipt so the reader gets maximum pixels on the text. These are the same habits that make any receipt read well — they just matter more when the paper is fighting you.
  • Let focus settle before you tap. Give the camera the half-second it needs to lock, especially if a fold still lifts part of the slip. A sharp photo of a slightly-creased receipt beats a rushed photo of a flattened one.

Do those and a receipt that wouldn't scan balled up usually reads fine flat. The print never left — you were just asking OCR to read it through shadows and off a curved line.

Capture it either way — the image is the record

Here's the part that matters more than any flattening tip: even if the total won't auto-fill, you still capture the receipt. The OCR draft is a convenience; the image is the record. A photographed slip is the thing an audit actually asks for, and it proves the expense whether or not any software parsed a number off it.

So the workflow for a stubborn crumpled slip is the same as for a handwritten one: snap it, and if the amount came through wrong or blank, type it. When the scanner can't follow a total across a fold, you read it with your own eyes and set it in two seconds, and the record is complete and correct regardless. OCR reading it for you is the bonus, not the point.

And capture it soon. A creased receipt tends to keep getting worse — it rides in a pocket, softens, tears along a fold, picks up more grime. Flatten and shoot it while the print is still crisp inside the creases, file the image into your own Google Drive next to everything else, and the paper can crumple into dust afterward for all it matters. You already have the clean copy.

Don't bin it because it's a mess

The temptation with an ugly, balled-up receipt is to decide it's not worth the trouble and throw it out. Resist that for anything that's a real business expense. A crumpled receipt you can still make out is worth keeping — the fold doesn't make the expense less real, it just makes the photo take ten more seconds. A slightly warped record beats a missing one every time you're claiming a genuine cost.

A note for both the US and India

A crease doesn't change what either tax system wants from you: contemporaneous proof you actually spent the money on the business. In the US, a crumpled-but-legible receipt is perfectly good documentation behind a deduction — the IRS cares that the expense was ordinary and necessary and that you can show it, not that the paper was pristine. Confirm the deduction itself with your CPA where it isn't obvious.

In India, the same slip is fine as a record of spend for your books — but if you're claiming GST input tax credit, legibility of the total isn't the only bar: a receipt still has to be a proper tax invoice with the fields the law wants, and a crumpled thermal slip from a small vendor often isn't one. Keep the image either way, and confirm what you can claim with your CA. The workflow's only job is to make sure a legible copy of the evidence still exists when you or your accountant go looking.

The takeaway

A crumpled receipt isn't an unreadable one — it's a warped one, and warp is fixable in a way that fade is not. Flatten it under a book, drop it into soft even light, and shoot straight down so the baselines go flat and the shadows disappear, and OCR will usually read a slip that looked hopeless balled up. When it still can't follow the total across a fold, type the number yourself; the image was always the real record, and it lives in your own Drive either way. Smooth it out, snap it early, and the receipt that rode home in your pocket becomes just another clean line in the books.
