Wave is a free accounting suite. Receipt scanning is bundled in, but it's a feature in service of the ledger — not the main product. If you want a dedicated receipt-and-expense flow with team submission, OCR you can lean on, and source images stored where you control them, you're shopping. This page covers six alternatives, from “capture-first and Drive-native” (Starlog) to “still in a spreadsheet” (the honest status-quo option).
01 · The complaint
Why people leave Wave.
Recurring patterns we see in switcher conversations. None are “Waveis bad” — they're “ Waveisn't built for me.”
44%
of Wave users add a second tool the moment a teammate starts submitting receipts.
In their words
“Wave works for invoicing. The moment my assistant started sending me receipts, the workflow broke.”
“Receipts in Wave are OK. They're better in a folder I actually own.”
01Wave is an accounting suite first, receipt scanner second — the receipt-specific features lag dedicated tools.
02No team submitter flow — designed for a single user, not for owners reviewing teammate receipts.
03Receipts live in Wave's cloud — exporting them with their context is awkward.
04OCR is functional but not exceptional.
05If you've outgrown Wave's bookkeeping and are moving to QuickBooks Online or Xero, the receipt module follows the rest of the suite out the door.
02 · The criteria
What to look for in an alternative.
Things to check before you commit. Pin this list to your laptop and read each vendor's site through it.
01
Pricing that doesn't punish team capture
Per-account or flat pricing, not per-seat or per-active-user.
02
Receipts you control
Source images in your Drive, not held inside the vendor's database.
03
OCR that's good enough
You're reducing typing, not eliminating manual review.
04
An export your accountant accepts
Tally voucher import (India) or XLSX + receipt images in a folder tree (everywhere else).
05
A team submission flow
A way for employees and contractors to send you receipts without giving them access to the books.
06
Per-business isolation
Receipts for the consulting LLC don't bleed into the rental property's books.

★ Our pick
01 / Starlog
Free, Drive-native receipt scanner for owner-operator SMBs.
Snap, log, forget. Receipts in your Drive, free for teams forever.
Mobile-first receipt scanner. Snap a receipt, OCR fills in store + amount + date, and the source image lands in your own Google Drive in a per-company year/month folder tree. No Starlog-side database holds your data.
Why people switch from Wave
Receipt-first — the whole product is built around capture, not bundled into a ledger.
Drive-native storage — receipts live in your Drive, queryable independent of any accounting tool.
Team submitter flow — teammates capture receipts without seeing your books.
Per-company isolation — clean separation per business in v1.
Works alongside any accountant — XLSX export + source images, ready to hand off to QBO, Xero, or your CPA.
Honest gaps
No corporate cards, virtual cards, or card-feed reconciliation.
No policy engine — the owner is the policy.
No mileage tracking.
No direct API integrations with QuickBooks Online or Xero — handoff is XLSX + image bundle.
Pricing
$0/mo
Free tier: 1 company, unlimited submitters, unlimited receipts for 6 months from first capture, then 30 receipts/mo. Paid: Receipt Packs from $4.99 (₹199); Unlimited Receipts $1.99/mo (₹99); Multi-Company $4.99-$9.99/mo (₹299-₹599).
Free, card-led spend management for US small businesses.
Spend-management platform that bundles a corporate card, real-time card feeds, and automatic receipt matching. Genuinely free — monetized through interchange, not subscriptions.
Best for:US small businesses ready to centralize spend on a corporate card and willing to bank through Ramp.
Truly free — no per-seat or subscription cost.
Card-led — if you have lots of cash or non-Ramp spend, the model frays.
Excellent card-and-receipt automation.
US-only.
Strong AP automation, bill pay, accounting integrations.
Requires opening a Ramp account (banking relationship).
The honest status quo — a Google Sheet plus a Drive folder by year.
What most owner-operators were doing before they tried any expense app. A Google Sheet with categories, a Drive folder by year, and manual photo uploads.
Best for:Solo founders logging fewer than ~20 receipts a month who don't mind reconciling on a Sunday once a quarter.
Zero cost.
No OCR — typing every amount is the friction that breaks the habit.
Zero lock-in — the data is in your Drive.
No team submission flow.
Zero learning curve.
Quietly degrades — receipts you don't log on the day you spend often never get logged.

06 · The transition
What it takes to switch from Wave to Starlog.
About a half-day if you have a small team, mostly waiting on them to type the invite code.
Step 01
Historical receipts
Export your Wave receipt and transaction data (Settings → Data Export). Keep the bundle in your Drive as a historical record. Forward-going receipts go through Starlog.
Step 02
Team
Generate a 6-character invite code per teammate in Settings → People. Share via SMS or WhatsApp. They install Starlog, sign in with Google or Apple, type the code.
Step 03
Drive setup
Connect Drive on first run (or first save). Starlog creates Starlog/{Company}/{Year}/{Month}/ automatically.
Step 04
Accounting
Starlog isn't an accounting tool — it doesn't replace Wave's books. Keep Wave for invoicing and accounting if you like, or move books to QuickBooks Online or Xero. Hand the Starlog XLSX export to whichever ledger you're using.

Q1
What is the best Wave alternative for receipts?
For 1–20-person owner-operator businesses that want a dedicated receipt-and-expense tool, Starlog is the closest match — free unlimited submitters, receipts in your own Google Drive, owner-first review. Expensify is worth considering if you also need a full T&E platform with policy and corporate cards.
Q2
If I leave Wave for receipts, where do I do my accounting?
You can keep Wave just for invoicing and accounting (it's still free), or move to QuickBooks Online or Xero. Starlog isn't an accounting tool — it produces an XLSX you hand to whichever ledger you choose.
Q3
Is there a free alternative to Wave for receipts?
Starlog is free for one company with unlimited submitters. Ramp is free in the US if you can centralize spend on a Ramp card. Sheet + Drive folder is the honest DIY baseline.
Q4
Can Starlog import my historical Wave receipts?
Not directly — there's no Wave-to-Starlog migration. Export from Wave, keep the bundle in Drive as a historical record, and use Starlog forward-going.
Q5
Does Starlog work outside the US and Canada?
Yes. The app supports any currency. Tally export is India-specific. Anywhere with Google Drive and an iOS or Android phone, the core capture-and-export flow works.
Outgrowing the solo flow? Try the free, Drive-native one.
